Wilmot Mitchell Accountancy LLC (“WMA,” “we,” “us,” or “our”) respects the privacy of website visitors and individuals who contact us about our accounting, tax, bookkeeping, and advisory services. This policy explains how we may collect, use, disclose, and protect information obtained through wmaccountancy.com and related online interactions. Separate confidentiality, engagement, or data-handling terms may apply after a client relationship is established.

Information We Collect

The consultation form requires your name, email address, telephone number, whether you are seeking services for a business, individual/family, or both, your selected service interests, and a brief description of your needs. Business name, annual revenue range, and referral source are optional. We also receive information you provide when communicating directly with WMA. Website hosting and access services may process technical request information for operation and security; our current aggregate analytics are described below.

Sensitive Information

The public website is not intended for transmitting sensitive tax or financial records. Do not submit through ordinary website forms or unsecured email Social Security numbers, taxpayer identification numbers, bank-account credentials, passwords, credit-card information, tax returns, W-2s or 1099s, payroll records, government identification documents, or other confidential financial records.

Service Providers and Information Sharing

WMA determines why consultation information is collected and how it is used to evaluate and respond to inquiries. Our practice-management provider supplies the service that receives and stores the form details on WMA’s behalf. Resend provides delivery of the limited internal notification, processing its sender and recipient addresses, message content, job identifier, and delivery metadata. WMA’s receiving email service processes and stores that notification. Website hosting services process the submission to operate the website and deliver it to our practice-management provider. Our practice-management provider’s published privacy policy identifies it as a processor for customer-managed data and a controller for its own account information. Resend’s published data-processing terms identify it as a processor for customer email data, with separate controller responsibilities for account and usage data. Those roles apply to the relevant processing; they do not mean these providers are WMA employees. Providers may use subprocessors under their applicable terms. WMA does not sell personal information as part of its ordinary professional-services business. Other disclosures may be made when reasonably necessary to provide agreed services, obtain professional advice, meet legal obligations, or protect security. The consultation form itself does not initiate payment processing.

Texas Privacy Rights

If applicable law provides rights to access, correct, delete, obtain, or opt out of certain uses of personal data, WMA will provide an appropriate method for submitting such requests, subject to statutory exceptions and verification requirements. Cookies and Analytics

WMA and its service providers may use cookies, pixels, web beacons, local storage, and similar technologies to operate and secure the website, maintain authenticated access, remember preferences, understand how visitors use the website, measure traffic and performance, and evaluate the effectiveness of website content or marketing communications. Depending on the technologies deployed, information collected may include IP address, browser and device details, referring pages, pages viewed, interactions, and visit dates and times. The website currently uses first-party, cookieless analytics to count page views and consultation requests confirmed as received by our intake system. Aggregate analytics records contain the date, a predefined page path, an event category, and a count, retained for up to 400 days. We do not use browser identifiers or count unique visitors. We do not store form contents, names, email addresses, phone numbers, financial details, IP addresses, referrers, or URL query strings in these analytics records. We honor browser Do Not Track and Global Privacy Control signals for this analytics collection. Requests still pass through our hosting infrastructure, which may process technical information for operation and security separately from these aggregate analytics. We currently use no advertising pixels or behavioral-advertising trackers. If additional technologies are introduced, WMA will identify material changes in this policy and provide any notices, consent requests, or opt-out controls required by applicable law before or when those technologies are used. Describing possible future technologies does not mean they are currently active or replace any consent required by law. You can manage or delete cookies through your browser settings; blocking necessary technologies may affect access or functionality. Browser cookie controls may not manage every tracking technology, so use any additional privacy choices provided on the website. External services, including the client portal, operate under their own cookie and privacy policies.

Third-Party Websites

WMA is not responsible for the privacy, security, availability, or content practices of unrelated third-party sites or services linked from the website.

Data Security

The intake integration uses HTTPS connections and server-side API credentials that are not sent to the visitor’s browser. It checks field lengths and permitted selections and uses a hidden anti-spam field. The application’s intake error messages and logs use status codes or error categories rather than recording the submitted form contents. The website does not create a separate database copy of the form answers; our practice-management system is the intake record system. Internal notification emails omit the form answers, and aggregate analytics do not contain them. These application safeguards are separate from technical information that hosting and delivery providers may process for security and operation. Our practice-management provider’s published security documentation describes TLS encryption in transit, encryption at rest at the storage layer, encrypted backups, and access controls. Resend’s published security documentation describes encryption in transit and at rest and access controls. These are provider-described safeguards, not a guarantee that every WMA account option is enabled or that email is end-to-end encrypted. No internet transmission or storage system can be guaranteed completely secure. Use WMA’s authorized secure portal, rather than this form or ordinary email, for sensitive documents.

Data Retention

Consultation details are retained in our practice-management system and related WMA follow-up records for as long as reasonably necessary to evaluate the inquiry, communicate with you, meet legal obligations, resolve disputes, and maintain security. Notification emails and delivery records are held separately by WMA’s email service and Resend under their applicable retention practices. Deleting an email does not delete the inquiry in our practice-management system, and deleting an inquiry does not automatically delete related correspondence or provider backups. Provider retention and backup periods may differ; this website does not impose a single automatic deletion period on all intake records. Client records may be subject to separate retention policies. Contact WMA to request access, correction, or deletion; WMA will review the request and coordinate applicable provider actions, subject to identity verification and lawful retention requirements.

Children's Privacy

The WMA website and professional services are not directed toward children for independent use.

Changes to This Policy

WMA may update this Privacy Policy from time to time. The most recent version will be posted with an updated effective date.
